FCDC & WLC Student Monitor (Work-Study)

Reporting to the Program Coordinator, Faculty & Curriculum Development Centre (FCDC) and Writing & Learning Centre (WLC), the FCDC & WLC student monitor is responsible for providing friendly, professional reception services for students, faculty, staff and visitors and for providing assistance with daily administrative operations to support both the Writing & Learning Centre and the Faculty & Curriculum Development Centre. The student monitor position is an integral part of the front desk team. FCDC and WLC departments provides campus wide teaching and learning programs and services to the university.

Summary of Responsibilities:

  • Perform daily opening and closing procedures
  • Maintain a welcoming, clean and well-organized reception area; monitor and maintain other common spaces
  • Provide friendly, professional reception services for students, faculty and visitors
  • Provide accurate information about WLC and FCDC programs, services, and policies, refer to print and online resources and provide referrals to other institutional units as required
  • Greet and direct students and/or faculty arriving for events, workshops or appointments and facilitate event registration processes
  • Answer incoming telephone calls, retrieve and forward messages and respond to emails
  • Book student consultation appointments, maintain waitlists, and create and maintain tutoring files as needed
  • In consultation with the Program Coordinator, maintain the blackboard calendar and other displays, create, update and post daily WLC and FCDC signage, and assist with the preparation and distribution of resource materials
  • Assist with daily WLC and FCDC event set up and take down and stock and/or replenish daily program supplies and materials including handouts, brochures and other resource materials
  • Manage the room booking calendar through Outlook with accuracy
  • Use the WLC online booking system, TutorTrac to book and make changes to tutoring appointments daily
  • Create posters, newsletters, and other outreach materials
  • Assist with WLC and FCDC projects and assignments as requested

Qualifications

♣    OCAD University student, preferably second or third year
♣    Demonstrated ability to maintain confidentiality
♣    Excellent interpersonal, communication, and teamwork skills
♣    Punctual, well-organized, and careful attention to detail
♣    Experience providing customer service, reception, or administrative services in a busy work environment
♣    Knowledge of OCAD University programs, services, and resources
♣    Interest in university writing and teaching and learning support services
♣    Proficient in Word, Excel, Outlook, and InDesign required; proficiency in the other Adobe Creative Suite programs an asset
♣    Fluency in a second language an asset 
♣    Demonstrated commitment to the principles of accessibility, equity and diversity, and proven ability to deal effectively with a diverse population
